Managing requests: schedules, time off and shift changes

Deal with all your team's requests in one location.

Viewing the requests tab

Navigate to the scheduling and workforce tab on the left-hand side of the screen.

Select requests at the top of the screen.

The request screen encompasses schedule approvals, time off/holiday requests and shift changes. Select the tab you wish to review.

Pending requests are shown as default, you can filter the requests by approved or rejected by selecting from the dropdown.

Schedule requests

Review, approve and reject submitted schedules in the approvals tab.

Select an approval request to review. The request can be approved or rejected from here, and a comment can also be added.

Alternatively, select go to schedule to open the schedule and review it in detail.

To approve or reject the schedule select pending in the top right hand corner.

Time off requests

Review, approve and reject time off requests in the time off tab.

Time off requests can be filtered by request type in addition to the status.

The request list gives a high-level view of the request and also highlights any overlapping requests from the same location

Once a request has been selected the detail of the request will be shown if the employee has not accrued enough holiday to cover the request this will also be highlighted.

A summary of the leave entitlements is shown at the bottom of the tab.

If the holiday request needs to be edited use the toggle on the right-hand side of the daily breakdown to select if the day should be paid or unpaid.

πŸ’‘ Use the paid/unpaid toggle to reduce the need to reject holiday requests.

The holiday can be accepted or rejected depending on the information supplied.

Shift change requests

Review, approve and reject shift swap requests in the shift changes tab.

Shift change details are shown in the list along with location information and any impact to COL that the change would make.

A shift change can be one of three things

  1. Swapping a shift.

  2. Dropping a shift.

  3. Claiming and open shift.

More detail is shown when the request is opened. For shift swaps and claiming open shifts, you simply need to reject or accept the request based on the information supplied.

When there is a shift drop request there is the option to leave shift open for anyone, or find a replacement.

πŸ’‘ Choose leave shift open for anyone to make the shift available for employees to request. These requests will appear in the shift change requests list for approval.

If you choose to find a replacement you can choose an employee to reassign the shift to from the drown down menu.

You will see a notification if the replacement employee has a conflicting shift scheduled.

Once a suitable replacement has been found, select accept to update the schedule and notify the employee.
