Track credit you have requested from suppliers and record the credit notes you receive. Nory uses credit notes to account for credited amounts in the Discrepancies view, so you can see whether a supplier has put right the difference between what you received and what you were charged.
Who can use this: this is part of the Invoicing Assistant flow in Nory. To raise and manage credit requests and credit notes, you need the "Can raise and manage credit requests and credit notes" permission. Teammates with "Can view credit requests and credit notes" can see them but cannot change them. See the Permissions in Nory article for how to change someone's access.
Credit requests and credit notes: what's the difference?
Nory tracks two related but separate things, and you will usually use both for the same issue.
| Discrepancy | Credit request | Credit note |
What it is | A difference Nory is highlighting between what you ordered (PO), what you received (GRN) and what the suppliers charged you for (INV) | A label that tracks credit you have requested from a supplier outside Nory, for example by phone or email. | A record of the document your supplier issues to confirm a credit. |
How it gets into Nory | Created automatically by Nory comparing input documents. | You mark a discrepancy as Credit requested or Credit received. | You add it manually, or Nory receives it automatically via EDI (Electronic Data Interchange, a direct connection with your supplier). |
Does Nory contact the supplier? | Not all discrepancies are born equal! Some may be just user error or outdated product catalogue data. | Nory does not send the request to your supplier. You request the credit yourself. | Your supplier issues the credit note and Nory records it. Nory does not contact the supplier. |
Does it affect month-ned invoice reconciliation? | A discrepancy does not affect reconciliation. It only tracks your progress. | A credit request does not affect reconciliation. It only tracks your progress. | Credit notes do affect reconciliation. They provide the credited amounts used in the Discrepancies view. |
Marking a credit request as Credit received helps you track progress, but it does not change any amounts. You still need a credit note in Nory for the credited amount to be reflected in reconciliation.
Track a credit request
When there is a difference between your Goods Received Note (GRN, the record of what was actually delivered) and the invoice, it appears in the Discrepancies section of the Purchasing flow. To track a credit request:
Review the discrepancy in the Discrepancies section.
Contact your supplier to request credit. You do this outside Nory, for example by phone or email.
Mark the discrepancy as Credit requested to track your follow-up.
Mark it as Credit received when the supplier confirms the credit.
You can also accept a discrepancy if no further action is needed, for example when you agree with the charge.
When a credit note is added and linked to the invoice, Nory automatically marks the credit as received, so you do not need to update the label yourself.
Add a credit note manually
Use this when your supplier sends a credit note on paper or electronically, rather than through EDI. You can create the credit note in two ways:
Against an invoice, linking it to the relevant invoice straight away.
As a standalone credit note, leaving it unlinked until you are ready to link it to an invoice.
To enter the credit note:
Enter the credit note number and the credit note date.
Enter the invoice ID if you are linking it to an invoice.
Add each line item by selecting an existing Nory item and entering the credited price and quantity.
Complete the credit note, or save it as a draft to finish later.
You can edit a completed credit note if you need to correct its details.
Receive credit notes via EDI
For suppliers that support EDI credit notes, credit notes appear in Nory automatically, with no manual entry needed.
Nory uses the invoice ID on the credit note to link it to the relevant invoice. If no matching invoice is found, the credit note appears as unlinked on the standalone credit notes page, and you can link it to an invoice later.
How credit notes affect discrepancies
Linked credit notes are included in the Discrepancies view, so you can see whether the credited amount covers the difference between what you received and what you were charged.
If the supplier credits the full amount, the Discrepancies view shows that the amounts balance.
If the supplier credits only part of the amount, the remaining difference still appears as a discrepancy.
Credit notes do not change the invoice's matching or approval status. An approved invoice remains approved.
Example: missing items credited through EDI
Here is how the full flow looks for a short delivery:
You place an order for 10 items through Nory.
Only 5 arrive, so you record a received quantity of 5 on the GRN.
The supplier's EDI invoice arrives, charging you for all 10 items.
You review the discrepancy, contact the supplier, and mark the discrepancy as Credit requested.
The supplier sends an EDI credit note for the 5 missing items.
Nory links the credit note to the invoice and automatically marks the credit as received.
The Discrepancies view accounts for the credit and shows that the amounts balance. The invoice's approval status stays the same throughout.
FAQs
Why is my invoice still Pending?
Your invoice stays Pending because Nory is waiting for the delivery to be marked as received. Once the delivery is received, Nory matches the invoice automatically. If the invoice remains Pending after a few minutes, contact support.
An item is flagged, but I think it's correct. What should I check?
If an item is flagged but looks right to you, check three things: the quantity recorded on the delivery, whether the units are consistent across the documents, and whether the supplier product is linked to the correct Nory item.
Will discrepancies appear without a GRN?
Discrepancies are generated only after a Goods Received Note (GRN) has been received, so without a GRN no discrepancies will appear for that delivery.
Does a credit note link to a specific credit request?
A credit note does not link to an individual credit request. Credit notes link to the invoice or the overall purchase order instead.
If I mark credit as received manually and an EDI credit note arrives later, will the credit be counted twice?
The credit will not be counted twice. The Credit received label only tracks your progress; only the credit note contributes the credited amount to reconciliation.
If I edit a credit note after everything balances, does the discrepancy reopen?
Editing a credit note does not reopen the discrepancy.
Where can I find an EDI credit note that couldn't be matched?
An EDI credit note that could not be matched to an invoice appears as unlinked on the standalone credit notes page. You can link it to an invoice from there.
Still not adding up?
If your credits still do not look right, gather the following before contacting support so we can help you faster:
The invoice ID and the supplier name.
The credit note number, if you have one.
Whether the credit note was added manually or arrived via EDI.
What the Discrepancies view currently shows for that invoice.
